Privacy Policy
One clear policy for BotForge and ClubBoard — Team Manager.
Effective July 30, 2026
This Privacy Policy explains how Pixel Forge Utilities (“we”, “us”) accesses, collects, uses, stores and shares information through BotForge and ClubBoard — Team Manager.
Privacy questions can be sent to [email protected].
2. BotForge
BotForge is a management platform for Discord bots, servers, modules, automations and competitions. BotForge may process:
- Discord account identifiers, username, display name, avatar and authorized server membership information.
- Bot and server identifiers, channels, roles, permissions, module configuration and operational status.
- Competition registrations, teams, fixtures, results, attendance, moderation records and content intentionally published on public competition pages.
- Automation definitions, scheduled messages, delivery history, audit records and security events.
- Subscription plan, billing status and provider transaction references. Complete payment-card details are processed by the payment provider and are not stored by BotForge.
Discord bot tokens and webhook credentials are treated as sensitive credentials. Where stored, supported secrets are encrypted or otherwise protected and are never intentionally displayed publicly.
Server administrators decide what member or competition information they add to BotForge and what information they publish. Public pages show only content configured for public presentation; administration controls remain behind authenticated and authorized routes.
3. ClubBoard — Team Manager
ClubBoard helps EA SPORTS FC Clubs teams organize players, matches, availability, tactics and communication. ClubBoard may process:
Google account and optional Discord identity
ClubBoard uses Google as the primary account identity and may receive a stable Google account identifier, verified email, display name and profile image. If you optionally connect Discord for Discord-specific services, ClubBoard may also receive your Discord user ID, username, display name, avatar and email address if Discord makes it available. ClubBoard does not receive or store either your Google or Discord password, and it does not merge separate accounts merely because email addresses match.
EA SPORTS FC club data
For a club selected by a user, ClubBoard may process the club ID, name, platform, squad, player statistics, matches, results and other club information returned by the available EA Clubs service. It may also store whether the club is followed, associated as a member or claimed for management, together with the verified association between a ClubBoard account and an EA player in that club. EA identity associations are protected against reuse by another ClubBoard account. ClubBoard does not request or store an EA account password.
Team-management content
Authorized users may create or update availability, team roles, invitations, schedules, lineups, formations, tactics, set-piece routines, player builds, announcements, match reports, staff notes and external video links. This information is shared with authorized members of the relevant club as required by the feature.
Device access, notifications and support
- Installation, activation and device identifiers, operating system, app version, access status and security events are used to protect accounts and enforce device limits.
- If notifications are enabled, an Expo push token may be stored so requested team notifications can reach the device.
- A support report may include its message, category, app version, diagnostics and a screenshot only when the user chooses to attach one.
Google Play purchases
If ClubBoard subscriptions are enabled, Google Play processes the payment. ClubBoard may receive the product identifier, purchase token, subscription status and transaction status needed to provide access, prevent reuse and reconcile renewals or cancellations. The purchase token is encrypted at rest and only a one-way hash is used for duplicate detection. We do not receive or store complete payment-card information.
4. How information is used
We use information to:
- Authenticate users and restore authorized sessions.
- Provide the product features requested by users.
- Apply server, workspace, club and device permissions.
- Synchronize selected club data and reconcile shared workspaces.
- Send requested notifications or Discord publications.
- Process subscriptions and enforce product entitlements.
- Diagnose failures, answer support requests, prevent abuse and protect the availability of our services.
6. Security and retention
We use safeguards appropriate to the service, including HTTPS, hashed sessions and device credentials, role-based permissions, restricted owner operations, encrypted supported secrets, revocable device access and limited-retention backups.
Information is retained only while needed to provide the service, protect it or meet legal obligations. Sessions and temporary synchronization records expire or are removed when no longer needed. Operational backups are rotated and expire after a limited recovery period.
No online service can guarantee absolute security. If you believe a credential has been exposed, revoke or regenerate it with the relevant provider and contact us.
7. Your choices and deletion
Depending on your location, you may request access, correction, deletion or restriction of your personal information. Optional notifications and device permissions can be disabled from the app or device settings.
ClubBoard users can choose More → Account and security → Delete account and personal data. Club owners may first need to transfer ownership so other members are not locked out. Public instructions are available on the ClubBoard account-deletion page.
BotForge users can request deletion of their account, bot, server or workspace information through the contact page. Include the relevant account, bot or server identifier without sending passwords, tokens or other secrets.
Shared operational records may be retained only where necessary for other authorized members, legal obligations, fraud prevention or recovery from a recent backup. Personal identifiers are removed or anonymized where reasonably possible.
8. Children
BotForge and ClubBoard are not directed to children under 13 or below the minimum digital-consent age in their country. We do not knowingly collect personal information from children below the applicable age.
9. International processing and policy changes
Our providers may process information in countries other than the user’s own. We use reasonable safeguards appropriate to the services involved.
We may update this policy when product functionality, providers or legal obligations change. The effective date at the top of this page will be updated when material changes are published.
